Birmingham 2022 is looking for an experienced and passionate Event Services Coordinator to join the Event Services Functional Area. Reporting to the Event Services Workforce and Training Manager, the Event Services Coordinator will provide general support and day-to-day assistance within the Event Services Functional Area. The Event Services Coordinator will be supporting the planning, implementation and tracking of recruitment, onboarding and training of the Event Services workforce. In addition to this, they will be providing administrative support for the procured stewarding contracts and supporting the planning of the spectator experience on venue. In this capacity, the role will be critical to the successful planning and delivery of the Event Services service levels.

The ideal candidate will have experience within an administrative or support function and have an ability to liaise and support large and complex teams of paid and volunteer staff. If you have experience assisting programmes and projects with excellent planning and organisational skills and a passion for Birmingham and the Commonwealth Games, this could be the role for you.

 

Responsibilities

  • Be the administrative backbone of the Event Services. Owning the master Functional Area timeline, proactively working across the department of 21 (growing to 70 in April 2022 and 7246 by Games time) to ensure all parts of the team are working effectively together and comms are working well.
  • Provide general administrative and organisational support to the Events Service Functional area, including managing meeting rhythms, meeting invites, template creation, writing minutes and the organisation of team building exercises.
  • Event Services representative to other Functional Areas to provide trouble shooting support to other Functional Areas looking to Event Services for information and support.
  • Assist in the overall planning, projections, implementation, and dissolution of Event Services projects and services.
  • Support activities across the Event Services Functional Area as required.
  • Act as secretariat for working groups chaired by Event Services.
  • Plan the Event Services team meetings under direction from Head of Event Services.
  • Maintain departmental filing and diary management.

Skills & Experience Required

Essential

  • Experience of assisting programmes/projects, producing high quality minutes and actions.
  • Ability to liaise and support a diverse range and level of paid and unpaid staff.
  • Experience in implementing, tracking and reporting on tasks and projects.
  • Effective planning and scheduling skills.
  • Solid time management and goal orientation skills.

Salary: Competitive
