About The RoleThe Production/Operations Assistant Manager supports the planning, delivery and execution of music, sports, and special events and acts as a point of contact for incoming shows and production teams. This post identifies, implements, and manages the systems required to deliver a sustained, first-class level of service, working with the AEG Presents production, ticketing, marketing, and the operations teams.

Essential Duties And Responsibilities

  • Assist the AEG Presents Team to successfully manage events and grow AEG’s event and touring business.
  • Advance all aspects of live events with the AEG Presents team and liaise with venues, local stake holders and artist contacts from the club to stadium level shows.
  • Coordinate efficient site visits to facilitate the accurate logistical and financial modelling of their activity: Runners, Production Suppliers, Airport transfers, Venue Reps, Government Representatives and Visa applications etc.
  • Assist with the management of on-site logistics, travel, back of house, production, security, and other operational needs.
  • Gather technical information, source rider requirements, coordinate venue and artist correspondence, and oversee hospitality needs.
  • Track key project milestones, adjust project plans and/or resources as necessary
  • Advise Presents Team with routings, venue availability, permitting, visas, country specific policies, travel arrangements, and any restrictions related to projects.
  • Liaise and build relationships with event teams and other AEG departments, ensuring the dissemination of relevant information with clear communication in a timely manner.
  • Ensure all production information, regulatory requirements (permits) and all health and safety documents are submitted and approved for each event.
  • Ensure that event protocols including event show/tour files, AEG Presents’ databases, venue bookings and availabilities, including tour routings are kept up to date and issue all appropriate information to the AEG Presents team
  • Assist in managing the AEG Presents Share-point database
  • Provide financial data entry including budget and invoice management, updating financial reports and assisting in working to the agreed events budgets.
  • Keep operational procedures up to date to ensure best practice and develop creative solutions.
  • Support the Presents Team with advancing shows, including ticketing and operational information ready for shows to go on sale and to assist in the post mortem phase of completing each project.
  • Be flexible to work across other departments when required

Educational Background, Skills & Abilities

  • On-site live event touring experience
  • Diploma level qualification required.
  • A general knowledge of the live music industry
  • Ability to travel multiple times per month during busy seasons and holidays, across the Asia region
  • Flexible schedule to accommodate nights/weekends/holidays/travel days
  • Strong working knowledge of production related equipment (sound, lights, video, etc.) – not ability to operate, but fluent in discussing as it relates to event management with artist team, venue and vendor contacts.
  • Ability to work as part of a team, as well as individually on specific projects.
  • Fluent in Microsoft Office (Excel and Word) as well as Google platform as server. CAD/Vectorworx proficiency a plus.
  • Strong project and time management skills
  • Must work well under pressure and in high stress environments, good decision maker and analytical thinker.
